We developed a custom Rider Check-In System built on Laravel and designed around BikePark Wales’ unique operational workflow. The system provides a live dashboard displaying all riders booked in for the day, along with their hire details, rider status, equipment allocation, QC verification, and ID checks.

To optimise performance and usability, we built an intuitive UI with colour-coded indicators, advanced filtering, and instant search — allowing teams to process hundreds of riders with minimal friction. The platform integrates with existing booking data and runs on AWS, deployed through Laravel Forge for secure and scalable hosting.

The new system has transformed daily operations. Staff now have live, centralised visibility of all riders and equipment, eliminating paperwork and communication gaps between front-of-house and workshop teams. They can instantly update records, upload inspection photos or reassign equipment directly from the interface.

The process of checking riders in, confirming ID and waivers, and ensuring bikes pass quality control is now seamless and fully traceable. This has reduced administrative workload, improved safety compliance, and enhanced the customer experience, especially during high-volume weekends. Today, the Rider Check-In System is a mission-critical part of BikePark Wales’ operations and a strong example of how tailored digital tools can simplify fast-paced, complex environments.
